Four reasons to choose PHPRunner
PHPRunner and Caspio can both create forms, reports, dashboards, permissions and workflows. The important difference is what happens around the application: where the data lives, what runs on your server, how the application reaches an existing database, and what you continue paying for after launch.
PHPRunner is the stronger choice when your organization wants to run the application on infrastructure it selects rather than depend on a vendor’s cloud service to operate it.

Quick answer: Choose PHPRunner when you want to run the application on your own servers, keep working with an existing relational database, pay for the development tool without an ongoing platform subscription, and add custom functionality as requirements grow.
PHPRunner builds a complete application that you deploy to a compatible web server. The application and database can remain on the organization’s own servers, private cloud or chosen hosting environment. Your team controls the network boundary, deployment schedule, backups and monitoring.
Caspio is a managed cloud platform. Its database runs on Caspio’s AWS-hosted SQL Server infrastructure. A Caspio application can appear on the customer’s website or domain, but embedding the interface does not move the underlying platform or database onto that web server.
Why this matters: organizations with confidential data, internal-network requirements or established infrastructure can keep the complete production system within the environment they already govern.
PHPRunner connects directly to MySQL, MariaDB, Microsoft SQL Server, PostgreSQL, Oracle, Microsoft Access, DB2, Informix, SQLite and ODBC-compatible databases. You select the tables, views and queries the application needs without first moving those records into a vendor-managed database.
Caspio provides its own managed SQL Server database. Its documented starting points create tables in Caspio or import existing data into Caspio tables. APIs, webhooks and import/export tasks can exchange data with other systems, but synchronization is a different architecture from letting the application work directly with the existing database.
Why this matters: direct access avoids creating a second operational copy of the data and the synchronization rules, delays and failure handling that come with it.
Caspio correctly advertises unlimited application users, but its subscription is still capacity-based. With annual billing, current Team and Business plans are $270 and $540 per month. That is about $6,500 for Team or $13,000 for Business over two years. Plans include allowances for DataPages, records, email, storage, integrations and other resources, and additional capacity can add recurring charges.
PHPRunner is purchased per developer. Professional is currently $599 and Enterprise is $999, with one year of email support and upgrades included. Renewing maintenance for the second year currently costs $249 for Professional or $399 for Enterprise. That puts two years at about $850 or $1,400 respectively. The organization separately pays for the servers, database licenses, monitoring and staff needed for its chosen deployment.
Why this matters: for a representative two-year purchase, the published software price difference is about $5,600 between Caspio Team and PHPRunner Professional, or about $11,600 between Caspio Business and PHPRunner Enterprise. These are not identical packages, and PHPRunner hosting and operating costs are separate, but the comparison shows the scale of the recurring platform subscription. Prices and plan terms were checked on 21 October 2026 and may change.
PHPRunner provides events for adding application-specific logic and supports custom PHP, JavaScript, CSS and external files. Developers can call the database, enforce a business rule, integrate another service or add a custom endpoint while keeping that behavior with the application deployed on their server.
Caspio provides visual workflows, extensions, REST APIs, webhooks and client-side customization. Caspio supports these customizations, but the application continues to depend on Caspio’s cloud platform.
Why this matters: a development team can move beyond visual configuration while keeping its custom server-side logic with the application it operates.
Choose PHPRunner when the application must run on servers you select, use an existing relational database directly, avoid an ongoing cloud-platform subscription, and remain open to custom server-side logic.
Use the trial with a representative part of your system. Connect a test copy of the real database, build one user workflow, add one business rule and deploy it to the environment you expect to operate.
